Terms & Conditions
These Ts&Cs apply to all crafters participating in The Eco Fairs markets. By booking a place at our event, you agree to the following conditions:
1. Market Registration and Payment
a. Your place at any The Eco Fairs market is not confirmed until full payment is received.
b. A deposit must be paid within 5 days of receiving your invoice. Failure to do so may result in the release of your space unless an extension has been arranged.
c. The final balance must be paid 3 weeks before the market date. Failure to pay on time may lead to forfeiture of your spot.
d. All payments are non-refundable and non-exchangeable once received. You cannot switch places or dates once payment is made.
2. Crafter Allocation and Setup
a. Each crafter is allocated either space for a trestle table or a clothing rail. Both cannot be selected together to ensure enough space for all crafters.
b. Setup will begin at the time arranged and confirmed in the crafters’ booklet specific to the event. You must be fully set up at least 20 minutes before the start of the event and remain operational until the market closes, unless arranged otherwise.
c. If you arrive late and cannot set up before the market opens, The Eco Fairs reserves the right to turn you away without a refund.
3. Market Cancellations and Refunds
a. If The Eco Fairs needs to cancel the event for any reason, we will inform you as soon as possible. You may either transfer your booking to a future date or receive a full refund.
b. No refunds or replacement spots will be offered if you are unable to attend due to sickness, weather conditions, missed transport, or other personal reasons, including COVID-19.
4. Waiting List Policy
In the event that a market is fully booked, you may be contacted to be placed on a waiting list. This is not possible at all of our events and will be specified depending on the event. If a space becomes available, we will notify you via email or phone. You will have 2 days (48 hours) from the time of our notification to confirm your participation and submit payment. If we do not receive confirmation or payment within this timeframe, your space will be offered to the next person on the waiting list.
5. Health, Safety, and Conduct
a. The safety of all participants and visitors is so important to us. Due to the busy nature of the event, crafters are not allowed to bring babies or young children to the market.
b. Crafters may bring up to two additional people to help manage their stall due to space limitations.
c. Crafters must ensure their products meet all legal safety standards, and they are responsible for any liabilities that may arise from non-compliance.
d. Inappropriate or disrespectful behaviour towards staff, other crafters, or customers will not be tolerated. We reserve the right to revoke your place at the market immediately, without a refund, if you fail to comply.
6. Crafter Responsibilities
a. It is your responsibility to ensure that you have appropriate Public Liability Insurance (PLI) where necessary.
b. You must ensure that all products sold at your stall meet legal requirements, and we reserve the right to revoke your stall without refund if your products are found to breach legal or ethical guidelines.
c. The Eco Fairs takes no responsibility for any loss, damage, or theft of stock, displays, or personal belongings on the day of the market.
d. Crafters must ensure that all rubbish is disposed of properly. If the market area or your stall is left untidy, you may be charged for additional cleaning fees.
7. Internet, Power, and Equipment
a. We cannot guarantee internet access at all venues, however much we try to make this an option at our markets. Crafters should ensure they have the ability to hotspot from their phone or other devices if internet access is required.
b. If you require electricity, you are responsible for bringing your own extension cords and ensuring that your electrical items are PAT-tested.
c. Any damage caused to the venue or surrounding area will be the responsibility of the crafter, and you will be charged for repairs if necessary.
8. Promotion and Media
a. By participating in The Eco Fairs, you agree to allow us to take photos and videos during the event for use on our website and social media.
b. Crafters are encouraged to promote their participation via their own social media channels and tag @theecofairsuk for additional visibility.
9. Layout and Market Conditions
a. Crafters are provided with one 6ft trestle table only if agreed beforehand. This must be agreed upon with us in advance and will incur an extra fee.
b. We strive to ensure uniform table sizes, but due to variations in the hire service, we cannot guarantee this. We will inform you if table sizes change.
c. The table layout for the market is pre-determined by The Eco Fairs and is non-negotiable. We take care to avoid product overlap but cannot guarantee there will be no similarities between vendors.
10. Insurance and Liability
a. The Eco Fairs is not responsible for any products or services sold by crafters during the market.
b. It is your responsibility to ensure that your products comply with any legal standards and regulations.
c. The Eco Fairs cannot be held responsible for any financial or reputational losses arising from market participation, cancellations, or venue issues.
11. Stock and Storage
a. Crafters are responsible for ensuring their stock fits neatly under their allocated table. Some of our events will have additional storage spaces, but this may not always be possible. There is limited storage space available, so all additional stock must be managed within your stall area.
12. Communication
a. All communications regarding the market will be sent via email and Instagram group chats. Crafters are responsible for checking their email (including junk/spam folders) and ensuring they receive updates from us.
b. Failure to read or respond to emails or attend virtual information sessions (via Zoom) will not be the responsibility of The Eco Fairs. If you miss vital information, we will not be held liable.
13. Parking and Venue Conditions
a. We cannot guarantee parking for crafters at the venue, however we try to provide the correct information as much as we can. You will need to make your own parking arrangements.
b. You are not allowed to affix anything to the walls or surfaces around your stall. Any damages caused will be charged to you.
By booking a place at The Eco Fairs, you agree to these Terms and Conditions. These conditions are subject to change, and any updates will be communicated to you in advance of the market.
